In order to volunteer at the school, in any capacity, each and every volunteer must attend a volunteer orientation each school year. This is a district-wide mandated policy, with no exceptions. At the orientation, volunteers must complete two forms: Form 270, School Volunteer Registration Form and
Volunteer and Chaperone Contract. Orientations are held at several times at the beginning of the school year and periodically during the school year. Volunteers may attend an orientation in May for the upcoming school year.

All volunteers will be checked against the Florida Deptartment of Law Enforcement’s Sexual Predators and Offenders Registry prior to being placed in any volunteer position.

During the orientation, volunteers will learn about the many volunteer opportunities at PCE as well as the policies, procedures and guidelines pertaining to volunteers, mentors, business and community partners as outlined in the Martin County School District Volunteer and Community Involvement Handbook. Volunteers may download the handbook online at the Martin County School District website or they may request a copy at the orientation. Each volunteer is required to read the handbook and sign a statement agreeing to comply with the terms therein.

Background Checks

School Board policy requires a Florida Department of Law Enforcement (FDLE) background check every two years for the following volunteers:

1. Coaches, club sponsors, cheerleading sponsors, mentors, tutors.
2. All school site volunteers working with students who are not under the direct visual supervision of a School Board employee.
3. All school-sponsored trip chaperones who might not always be under the direct visual supervision of a School Board employee, i.e., taking students to the restroom.


The cost of the background check is $23.

Please note: No parent may chaperone his/her child’s field trip if he/she have not attended that school year’s volunteer orientation, completed the Form 270, completed a Volunteer and Chaperone Contract and have a completed and current background check.

Please note it can take up to 8 weeks for background checks to be completed.


Sign In/Sign Out Procedure and Tracking Volunteer Hours

While on campus, every volunteer must sign in and out at the Keep-n-Track computer located in the front office and wear a “volunteer” identification badge.  If a volunteer forgets to sign out, then the computer will default to one hour of credit only.  If a volunteer stays on to visit his/her child in the cafeteria or to attend an event at the school, then the volunteer must sign out and obtain a visitor’s badge. 

Any volunteer activity performed off campus and/or after school hours should be recorded on the blue Extended Volunteer Forms and turned in the last day of each month to the front office.  Copies of the volunteer hours form are available in the front office next to the volunteer computer.
